Job Title: Grants and Finance Officer

Salary:  £26,000 per annum, pro rata

Work hours: 24 hours a week (flexible hours can be arranged)

Holiday: 25 days paid holidays per year, pro rata

Line management responsibility: None

Reporting to: Chief Executive, Legal Consultants

Job purpose

  • To design the budgets in support of funding proposals submitted by the AIRE Centre;
  • To manage project budgets ensuring that all financial transactions are in accordance with the Grant and properly processed, recorded and reported;
  • To  liaise with the relevant project managers and Legal Director to ensure cohesion between the financial transactions and project activities;
  • To prepare and present financial reports to funders, colleagues and the Management Committee;

This role would ideally suit an individual with prior experience in Finance and Grants Management who requires flexible working hours and is interested in working in a small and successful team in the charity sector. The post-holder would be responsible for the grant management of all UK and EU funded projects and would work closely with the Balkans project team and UK based project managers.

Roles and Responsibilities

Through close collaboration with the Chief Executive, Legal Consultants, and Office Manager the Finance and Grants Officer will:

Grant Management (50%)

  • Oversee project related grants from inception to completion, and ensure that all project related income and expenditure is in line with the agreed activities, outputs and objectives of the project;
  • Ensure that all financial transactions and reporting procedures are compliant with the specific financial requirements of all national and international funders;
  • Maintain transparent detailed reporting systems to enable colleagues, Management Committee and external parties to understand the relevant budgets;

Financial Management (30%)

  • Prepare financial reports for the AIRE Centre's Management Committee, auditors and donors;
  • Undertake all financial transactions;
  • Create and monitor budgets; prepare periodic budget projections and inform staff and management about budget issues that arise;
  • Keep effective files and correctly maintain original records of expenditure.

 Liaising with stakeholders (20%)

  • Develop, implement and maintain systems for verifying expenditure incurred by overseas partners, and making international payments to partners and associates;
  • Liaise with partners and funders on a regular basis in order to accommodate unforeseen variations in project costs or available funds, and respond accordingly;

Person Specification

Essential:

  • Experience of grant/budget management
  • Demonstrated experience in domestic and international institutional grant management
  • Ability to work independently with little direct supervision
  • Ability to work well in a small team
  • Ability to troubleshoot and solve problems
  • Excellent communication skills, especially with overseas partners
  • Excellent IT skills (particularly Excel)
  • The ability to present complex information electronically and in-person to a range of audiences
  • A commitment to equal opportunities

Desirable:

  • Financial management qualifications
  • Experience in the not-for-profit sector
  • Specific experience of working with European Commission funded projects
  • Experience of working with a range of people from different backgrounds
